Executive Assistant

Weaver is seeking a highly organized and proactive Executive Assistant to the CEO to ensure seamless daily operations, optimize organization, and facilitate critical decision-making processes. This role requires a high level of discretion, problem-solving skills, and the ability to work independently in a fast-paced environment.

The job responsibilities of this position include, but are not limited to the following:

  • Anticipate the CEO’s needs, understand business objectives, and proactively address challenges.
  • Provide insightful input to support organizational strategy and decision-making.
  • Manage responsibilities autonomously and resolve problems efficiently.
  • Maintain confidentiality while managing internal and external partnerships.
  • Act as a liaison between teams and departments to ensure alignment with the CEO’s vision.
  • Foster strong relationships with stakeholders through high-level communication.
  • Utilize automation tools to track progress, manage deadlines, and ensure seamless workflow transitions.
  • Organize and coordinate special projects while maintaining efficiency.
  • Conduct research, gather key data, and analyze information to support decision-making.
  • Prepare concise summaries and actionable insights on relevant topics.
  • Create visually compelling and persuasive PowerPoint presentations.
  • Take accurate meeting minutes, capturing key decisions and action items.
  • Organize and manage the CEO’s calendar, appointments, and meetings.
  • Screen and direct calls, emails, and correspondence efficiently.
  • Ensure the smooth flow of information across departments in a timely and organized manner.

Our ideal applicant:

  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • Minimum of 3-5 years of experience as an Executive Assistant, Administrative Assistant, or in a similar role.
  • Strong organizational, multitasking, and time-management abilities.
  • Ability to work independently and prioritize tasks effectively in a fast-paced environment.
  • Discretion, professionalism, and a high level of emotional intelligence.
  • Experience with project management tools and automation software.
  • Strong problem-solving and decision-making skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Ability to work out of our Mt Hope, OH office.
